SUEXSA (St. Ursula Ex-Student's Association), Nigdi, Pune, respects the privacy of alumni, donors, event participants and visitors. This notice explains what information we collect, why we use it, what appears publicly, and the choices available to you.
1. Information we may collect
Depending on the form or service you use, we may collect your name, batch or passing year, email address, mobile number, postal address, city, country, occupation, business or service details, organisation, designation, profile description, social/profile links, donation or event details, messages, submitted photographs, and technical information needed to protect forms from spam or abuse.
2. How we use the information
- to verify and administer alumni registrations and membership records;
- to communicate about association activities, events, donations, enquiries and submitted requests;
- to process directory correction requests and place them before an authorised administrator for approval;
- to manage association records and maintain the security and reliability of the website; and
- to comply with applicable legal, accounting or regulatory requirements.
We do not sell personal information.
3. What is shown publicly
Only the full name of an approved member may appear in the public alumni directory. Email address, mobile number, postal address, batch, city, country, occupation, business/service details, organisation, designation, description and social/profile links are not displayed in the public directory. These particulars remain in the private database and are used only for association administration.
Information deliberately submitted for another public feature, such as an approved photograph, achievement, testimonial or news item, may be displayed in that feature after administrative review.
4. Consent and your choices
When you submit an alumni registration or directory correction, you must take an affirmative action to confirm that you have read this notice and consent to the stated processing, including display of your full name after approval. The system records the consent date and policy version.
You may ask us to correct your information, withdraw consent for future optional use, or remove your name from the public directory. Withdrawal does not affect processing already carried out lawfully, and some information may need to be retained where required for association, accounting or legal records.
5. Who can access the information
Access to private particulars is limited to authorised SUEXSA administrators or committee representatives who need it for association work. We may also use service providers such as our website host, database and email providers solely to operate the service. Such providers process information on our behalf or under their own applicable terms and safeguards.
Online donation information
Donation notice updated: 14 October 2026. For online donations, we collect donor name, contact details, postal address, amount, India-only declarations and consent records. If you request an 80G receipt, we also collect PAN for receipt and reporting administration. Donor details are not displayed publicly.
Razorpay processes payment details and recurring-payment mandates under its own privacy terms. We send the name, email and phone number you provide to prefill secure checkout, and retain payment or subscription references and confirmation status for reconciliation. This website does not collect or store card numbers, CVV, UPI PINs or bank passwords. Authorised SUEXSA representatives use donor details to administer donations, receipts, cancellations and accounting records.
Contact suexsaofficial@gmail.com for corrections, receipt requests or privacy questions. Transaction records may need to be retained for accounting or legal requirements even if you cancel future monthly payments.
6. Retention and security
We retain information only for as long as reasonably necessary for the purposes described above, association record-keeping, dispute resolution, fraud prevention, or legal obligations. We use reasonable administrative and technical safeguards, including restricted administrator access, encrypted web connections and protected form submissions. No online system can be guaranteed completely secure.
7. Children
If you are under 18, please do not submit personal information without the consent and assistance of a parent or lawful guardian.
8. Contact and grievances
For privacy questions, correction, consent withdrawal, or removal of your name from the public directory, email suexsaofficial@gmail.com. Please identify yourself sufficiently so that we can verify the request before changing a member record.
9. Changes to this notice
We may update this notice when our practices or legal requirements change. The effective date and version at the top of this page will be revised. Where a material change affects consent already requested, we will take reasonable steps to provide a fresh notice or obtain fresh consent as appropriate.
